Privacy notice
How we handle your data.
This notice covers two things: the application form on this website, and the Ascend Coaching app used by coaching clients. Ascend Coaching (the "controller") is a coaching practice based in Malta. Contact: ascendcoachingphysique@gmail.com.
1. Website application form
Ascend Coaching uses your answers to review your enquiry and contact you. Please do not include medical records in this form.
Your details
We collect your name, email, goal and message, plus any optional training or contact details you add. We also record the form version, basic referral and campaign information, and your consent.
Storage & email
Cloudflare stores applications and checks the form for spam. Resend emails Ascend Coaching about new applications. These providers process data needed for those services.
How long
Unconverted enquiries may be kept for up to 12 months, unless a longer period is needed for operational or legal reasons. Coaching client records are handled separately, as described below.
Your choices
Ask to see, correct, or delete your application by emailing ascendcoachingphysique@gmail.com. We’ll explain if a legal or operational restriction applies.
2. The Ascend Coaching app
The app is for people who have a coaching agreement with Ascend Coaching. It exists so that you and your coach can see the same plan and the same progress. It is not available to the public and it shows no advertising.
Signing in
You sign in with your email address and a one-time code that we send by email (through Resend). The app keeps a session token on your device for up to 90 days so you do not have to sign in every time. Signing out deletes it.
Your coaching data
Your coach records your plan (training, diet, supplements and, where relevant, health markers) and you record check-ins: weigh-ins, measurements, notes, and progress photos if you choose to take them. Meals you log in the Meal Logger are stored with your account. All of this is visible to you and to your coach only.
Where it is stored
Coaching data is stored on Cloudflare (Workers, D1 and R2) and, for some records and progress photos, in Google Workspace services (Sheets, Drive and Apps Script) under the coach's account. These providers process the data only to run the service. Nothing is sold, shared with advertisers, or used for marketing.
How long
Coaching records are kept for the length of your coaching agreement and for up to 12 months afterwards, so that you can return without starting from zero. You can ask for earlier deletion at any time (see section 4).
3. Health Connect data
On Android, the app can read activity and body data from Health Connect, but only after you grant each permission inside the app. You can grant some permissions and refuse others, and you can revoke any of them at any time in Health Connect settings. The app keeps working without them; your coach simply sees less.
What we read
Steps, active and total calories burned, exercise sessions, nutrition and hydration entries, sleep, heart rate, resting heart rate and body weight. If you choose "import history", the app reads the same categories for the past period you select, so your coach can see your starting point.
What we write
Only when you turn each option on: weigh-ins you log in the app can be mirrored to Health Connect as weight records, and cardio you log in the app can be saved as exercise sessions with their active calories.
Why
Your coach uses daily steps, cardio, sleep, heart rate and weight trends to adjust your plan. The data is used for coaching you and for nothing else. It is not used for advertising, is not sold, and is not shared with any third party other than the storage providers named above.
Where it goes
Health Connect data is sent encrypted (TLS) to Ascend Coaching's servers on Cloudflare and is shown to you and your coach in the app and the coach's dashboard. Daily summaries, not raw sensor streams, are kept.
Revoking and deleting
Revoke a permission in Android's Health Connect settings and the app stops reading that category immediately. Ask for deletion (section 4) and we delete the health data we hold within 30 days.
4. Your rights and deletion
Access and correction
Everything the app holds about you is visible in the app and the client dashboard. Ask us for a copy or a correction by email.
Deleting your account and data
Follow the steps on the account deletion page. We confirm by email and delete your coaching records, logged meals, photos and health data within 30 days, except what we must keep for legal or accounting reasons (invoices).
